Work with documents

Create new document

You can create new document only within folder where you have the appropriate access rights: Folder Admin, Editor, or Document Creator roles.

1. To select a location for your document, in the folder tree, select the target folder.

2. On the action bar, select the Create button (1), and then select New document 2.

3. In the Document type box (1), select the needed document type from the dropdown list.
4. In the Subject box 2, enter a descriptive name for your document.
5. Select the Create button 3.

6. In the Document Image attribute, select the + icon.

7. Select the needed file from your device, and then in the actions menu, select the the save icon icon A to save the document or the the save and close icon icon B to save and close it.

Tip: If you want to import multiple files at once, and then assign them to the needed document types, use the Import documents feature.

 

Import documents

Import files directly from your device to quickly add multiple documents at once. This method is most efficient when applying the same document type to several files, saving time compared to individual creation. You can still assign different document types to each file if needed.

1. To select a location for your file, in the folder tree, select the target folder.Screenshot demonstrating how to select a folder

2. In the toolbar, select the the-vertical-three-dots-icon icon (1), and then select Import as 2.Screenshot demonstrating how to import files

3. Do one of the following actions:

a. Select the Select files button A to select file from your device.
b. Drag and drop the file to the Import Files window B.

4. When the import is completed, select the Save button.

5. In the Document type box (1), select the needed document type from the dropdown list.
6. Optional: In the Subject box 2, make the needed adjustment.

Tip: To preview the imported file, select Show preview.

Then, the Preview sidebar will appear.

7. Select the Apply these settings to all imported files checkbox (1) to use the same document type if you imported multiple files at once.
8. Select the Save document button 2.

Move document

1. Select the document you want to move.
2. Select the the-vertical-three-dots-icon icon (1), and then select the cut icon Cut 2.

Note: To move several documents at once, use the Multiselect feature.

3. Select the destination folder where you want to locate the cut document.
4. Select the the-vertical-three-dots-icon icon (1), and then select the Paste icon Paste 2.

Rename document

1. Double-click the document to open it.

2. In the Subject attribute (1), make the needed changes, and then in the actions menu, select the the save icon icon to save the document or the the save and close icon icon to save and close it 2.

Delete document

1. Select the document you want to delete.
2. Select the the-vertical-three-dots-icon icon (1), and then select the delete icon Delete 2.

Note: To delete several documents at once, use the Multiselect feature.

3. Confirm deletion by selecting the Yes button.

Download document

1. Select the document you want to download.
2. Select the the-vertical-three-dots-icon icon (1), and then select the Download icon Download 2.

Note: To download several documents at once, use the Multiselect feature.

3. Select the download link in the Mass export finished message at the top-right of your screen.

View document properties

1. Select a document (1), and then on the action bar, select the the show preview icon icon 2.

2. On the right side of the screen, you will find the Details window.

3. Use the tabs menu, to view the following properties:

    • Image:

Copy document link

1. Double-click the document to open it.

2. In the actions menu select the the Settings icon icon (1), and then select Link 2. The link will be copied to the clipboard.

Edit document

1. Double-click the document to open it.

2. Make the needed changes (1), and then in the actions menu, select the the save icon icon to save the changes or the the save and close icon icon to save and close 2.
