Roles

The administrator can create new roles and use them for configuring document types. The process of creating a new role is described in the "Roles Directory" section.

For a document, all possible roles from the roles directory can be added. Granting access to work with a specific document type is done by activating a switch for the corresponding role.

A mandatory role for the document is the "Document Author," which is automatically assigned when a document is created for the staff unit associated with the user who created the document. This assignment cannot be changed during the document processing.

The Responsible Executor role is assigned to the person responsible for executing the document and is automatically included in the document, but it is not mandatory if it is disabled in the roles directory.

The Document Observer role is a system role automatically assigned to users who receive tasks related to the document. It grants the right to view document attributes.

For each role, by activating the corresponding switch, parameters can be added:

  • Allow role participants to delete documents: Grants all role participants the right to delete documents in states where document deletion is permitted (the "Allow document deletion in this state" checkbox is activated).
  • Prohibit adding more than one role participant: For this document type, only one representative of this role can be added.
  • Prohibit including groups in the role: For this document type, this role can only be assigned to specific staff units.

For the selected role, participants need to be added - users who will have all the rights and capabilities of the corresponding role.

Participants of the role can be individual users - staff units, system roles, users, as well as user groups - internal organizations, internal subdivisions, groups of performers, provided that the "Prohibit including groups in the role" switch is not activated.
