About LPP Ukraine
The Challenge
LPP faced significant inefficiencies in its document management processes. Employees were manually entering data, such as invoices and email addresses, while managing large volumes of paperwork.
“In one month of 2024, we processed 4000 documents – 200 invoices per day per person. This was slowing everything down,” the company explains.
Further complicating matters, LPP lacked an electronic document exchange system. The 300 stores across Ukraine needed to exchange and sign documents manually, creating inefficiencies. In addition, document storage was unorganized, and there was no integration with the accounting system.
“Old document management systems didn’t meet modern needs and were easily prone to errors and document loss,” employees shared.
Nectain’s Task
Nectain would automate LPP’s business processes, streamlining document management and improving internal workflow efficiency. This would involve implementing a comprehensive electronic document management system and integrating it seamlessly with the company’s existing accounting systems.
The system would allow employees to manage and store documents more efficiently, automate manual processes, and create a centralized document archive for quicker access and greater security.
Solution Details
Nectain implemented a fully integrated solution for LPP, automating the processing, storage, and exchange of documents across the entire company.
The system enabled:
STEP 01 Automatic Document Handling
Nectain automated the conversion of invoices into PDF files and their subsequent distribution, saving significant employee time.
STEP 02 Centralized Archive
A centralized electronic archive was set up for all documents, significantly improving search functionality and document accessibility.
STEP 03 Integration with Accounting Systems
Nectain seamlessly integrated with LPP’s existing accounting systems, streamlining financial processes and data flow.

STEP 04 Automated Uploads and Sorting
Documents were automatically uploaded from external systems like “VchAsno.EDO” and “M.E.Doc,” sorted, classified, and organized based on pre-set criteria.
STEP 05 Custom Workflow Management
The system allowed employees to manually adjust document lists, add or remove documents, and manage roles and access control to ensure security.
